Registration Information:

  • Registration for the conference commences at 8:00 AM on 5 September 2024, in Sheraton Hotel, Batumi, Georgia. The specific conference room name will be detailed in the final program.
  • Throughout the conference, the registration desk will be open from 8:00 AM onwards.
  • Upon arrival at the registration desk, attendees will be provided with their conference badge, conference folder, abstract book, and conference program.
  • Onsite coordinators will be available at the desk to address any inquiries.
  • Additionally, attendees will receive lunch vouchers at the registration desk. These vouchers should be presented to the restaurant staff when redeeming lunch.

 

Speaker Instructions:

  • Please note that minor adjustments to the program may occur for various reasons. Therefore, it is essential that you are present in the meeting room from the beginning of the conference on the day of your presentation.
  • Each speaker will be allotted 20-25 minutes for their presentation. We kindly request that you plan your talk to last between 17 and 19 minutes to accommodate introductions and questions. To adhere to the schedule, please ensure that you commence and conclude your presentation at the designated times outlined in the schedule.
  • English is the official language of the conference. Presentation materials should be submitted in either PDF or PPT format. Please ensure that your visuals are clear and easily readable.
  • Kindly submit your presentation slides 15 days prior to the conference and also bring a copy with you on a flash drive or storage device to the event. It is advisable to check and confirm that your presentations are functioning correctly before the session begins.
  • The meeting room is equipped with a digital projector, screen, laptop, pointer with slider, cordless and desktop microphones, and a basic sound system. Considering the schedule and technical setup, the use of personal laptops is discouraged unless absolutely necessary.
  • For Windows/PC users, please ensure compatibility of your presentation with the MAC system used at the lectern.

 

Poster Instructions:

  • Each poster will be assigned a unique number in the final program. Presenters are required to locate their designated poster display, marked with the corresponding number, and affix their poster one hour before the poster session commences. Materials for pasting or hanging will be provided.
  • Poster Dimensions: The allotted display area for each poster on the poster board measures 1 meter wide by 1 meter high.
  • Presenters must prepare their posters in advance and bring them to the conference venue. On-site printing facilities are not available; therefore, printing should be arranged by the presenter prior to the event.
  • Presenters are encouraged to be present at their posters throughout the entire poster session to engage with interested attendees.
  • It is imperative that presenters retrieve their posters by the end of the day; any posters left behind will be discarded.

 

Guidelines for Virtual Presentations:

  • Virtual presentations offer participants the convenience of presenting from their homes or workplaces without the need for travel.
  • Registered participants will receive a personalized meeting invitation with a user ID for webinar access a few days prior to the event.
  • We kindly request that attendees join the meeting 30 minutes early to minimize any potential last-minute technical issues.
  • Each speaker will be allocated 20-25 minutes for their presentation. To allow for introductions and a Q&A session at the conclusion of your talk, we advise planning your presentation to last between 17 and 19 minutes. To adhere to the schedule, please ensure that you commence and conclude your presentation at the times specified in the program.
  • Presenters are advised to have their presentation slides open on their device when the meeting commences. You may share your document while screen sharing during your presentation.
  • For presenters who prefer to submit a recorded presentation rather than presenting live, we recommend sending the recorded files along with the PowerPoint presentation at least 10 days before the event start date.

 

Certification Information:

  • All attendees will receive a delegate certificate signed by members of the organizing committee. Names and affiliations will be printed on the certificates based on our records. For any changes or requests regarding certification, please contact us at least one month before the conference.
  • Certificates will be distributed either during the session or upon its conclusion. Therefore, it's essential to remain present until the session concludes.
  • E-certificates will be emailed within 2-3 working days after the conference concludes.
  • Co-authors who do not attend the conference will not receive certificates.
